Managing Admin Roles, Instructors & Team Access
Invite additional admins and instructors, and understand what each role can and cannot access.
As your academy grows, you'll likely need more than one person managing it — a co-founder, an instructor teaching a specific course, or someone handling student support. Koursely supports multiple team members per academy with different access levels.
Roles Available Within Your Academy
| Role | Access |
|---|---|
| Owner | Full access to every module, billing, and the ability to manage other admins |
| Admin | Full access to content, students, and settings, typically without billing control |
| Instructor | Scoped access to the specific courses or cohorts they're assigned to teach |
This is distinct from the platform-level Super Admin role, which belongs to Koursely's own operations team and has no visibility into your academy's content.
Inviting a Team Member
- Go to Settings → Team in your admin dashboard.
- Enter the email address of the person you're inviting and select their role.
- For instructors, assign them to specific courses or cohorts — they'll only see and manage students within those assignments, not your full academy roster.
- The invited person receives an email to accept and set up their login.
Scoped Instructor Access in Practice
An instructor assigned to Course A cannot see enrollments, revenue, or settings for Course B unless they're separately assigned to it. This makes it safe to bring on multiple instructors across different programs without giving any one of them visibility into your whole business.
Frequently Asked Questions
Is there a limit on how many team members I can add?
There's no separate per-seat fee for admin or instructor accounts — pricing is based on active student count, not staff accounts.
Can I remove or change someone's access later?
Yes, from Settings → Team you can change a team member's role or remove their access at any time; this takes effect immediately.
Can an instructor see student payment details?
Instructor access is scoped to the courses/cohorts they're assigned to for content and progress management; sensitive billing details are generally reserved for Owner and Admin roles.
